- Monitor executive email inboxes and calendars, helping prioritize communications and schedules
- Track important deadlines, renewals, signatures, contracts, and business documents
- Coordinate payroll submissions and assist with PTO tracking and reporting
- Maintain records related to employee milestones, including birthdays and work anniversaries
- Assist with budget tracking and operational reporting
- Conduct internal audits to ensure compliance with agency processes and standards
- Create and distribute weekly and monthly internal newsletters and team communications
- Update and maintain company website content as needed
- Coordinate internal team events, celebrations, and community events
- Attend meetings, take detailed notes, and help track action items to completion
- Identify opportunities to improve efficiency and support ongoing operational excellence
- 2+ years of experience as an Executive Assistant, Operations Coordinator, Administrative Manager, or similar role preferred
- Exceptional organizational and time-management skills
- Strong attention to detail and ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Experience managing calendars, schedules, and executive communications
- Proficiency with Microsoft Office, Google Workspace, and business software platforms
- Ability to handle confidential information with discretion and professionalism
- Self-starter who takes initiative and follows through on commitments
- Accounting, bookkeeping, payroll, or budgeting experience is a major plus
