Position Overview:
Are you a highly organized professional who thrives on keeping people, projects, and processes running smoothly? We are seeking an Assistant Director of Operations to serve as a key partner to agency leadership, helping manage day-to-day operations while ensuring nothing falls through the cracks.

This role is ideal for someone who enjoys balancing executive support, operational coordination, team communication, and administrative oversight. The right candidate will be proactive, detail-oriented, and comfortable managing multiple priorities while maintaining exceptional organization and professionalism.

Responsibilities:
  • Monitor executive email inboxes and calendars, helping prioritize communications and schedules
  • Track important deadlines, renewals, signatures, contracts, and business documents
  • Coordinate payroll submissions and assist with PTO tracking and reporting
  • Maintain records related to employee milestones, including birthdays and work anniversaries
  • Assist with budget tracking and operational reporting
  • Conduct internal audits to ensure compliance with agency processes and standards
  • Create and distribute weekly and monthly internal newsletters and team communications
  • Update and maintain company website content as needed
  • Coordinate internal team events, celebrations, and community events
  • Attend meetings, take detailed notes, and help track action items to completion
  • Identify opportunities to improve efficiency and support ongoing operational excellence

Qualifications:
  • 2+ years of experience as an Executive Assistant, Operations Coordinator, Administrative Manager, or similar role preferred
  • Exceptional organizational and time-management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Experience managing calendars, schedules, and executive communications
  • Proficiency with Microsoft Office, Google Workspace, and business software platforms
  • Ability to handle confidential information with discretion and professionalism
  • Self-starter who takes initiative and follows through on commitments
  • Accounting, bookkeeping, payroll, or budgeting experience is a major plus
